SSWAA BOARD OF DIRECTORS POLICY MANUAL

1.0 BOARD OF DIRECTORS:
1.A Orientation:

1.A.1 The President and Executive Director will contact new Board members prior to their first meeting to provide meeting information. Orientation will be provided for new Board members on the first day of their first Board meeting. They will be provided with a copy of the by-laws, the budget, annual reports, board policies, job descriptions for board members and other pertinent information.

1.A.2 New board members will submit biographical information and a photo for inclusion on the website.

1.B President

1.B.1 Function:

a) The President shall serve as presiding officer of the SSWAA, board of directors, executive committee and delegate assembly.
b) The president, with the approval of the board of directors, shall appoint chairpersons of the standing and ad hoc committees and serve as an ex officio member of each committee, except the nominations committee, as well as perform such duties as are appropriate to the office or as stated in the by-laws, and/or SSWAA policies.

1.B.2 Reporting:
President reports should be presented each Board meeting.

1.C. Secretary

1.C.1 Function:

a) The secretary shall keep a record of all meetings of the board of directors, executive
committee, and the delegate assembly.
b) The secretary will provide a copy of the minutes to members of the board of direct
ors and SSWAA officers within 3 weeks of the meeting and at least 2 weeks prior to the next meeting.

1.C.2 Reporting:

The Secretary has no regular report other than sending minutes to the board of directors.

1.D. President Elect/Past President

1.D. 1 Function of President Elect:

a) The president elect shall perform such duties as may be directed by the president,
executive committee or board of directors.
b) In the absence of the president, the president elect or past president shall preside over
meetings of the association and assume the duties of president should the president be
unable to fulfill them.

1.D.2 Function of Past-President:

a) The past president, the most recently retired president, shall serve in an advisory
capacity to the president and perform such duties as determined by the executive board.
b) In the absence of the president, the president elect or past president shall preside over
meetings of the association and assume the duties of president should the president be
unable to fulfill them.

1.D.2 Reporting:

President Elect/Past President reports should be presented each Board meeting.

1.E Member at Large Representatives

1.E.1 One Member at Large Board Position will represent each of the following
SSWAA Regions:

a) Midwest: Illinois, Indiana, Iowa, Kansas, Kentucky, Michigan, Minnesota, Missouri,
Nebraska, Ohio, Oklahoma, and Wisconsin.
b) Northeast: Connecticut, Delaware, Maine, Maryland, Massachusetts, New Hampshire,
New Jersey, New York, Pennsylvania, Rhode Island, Vermont, the District of Columbia and DOD schools.
c) Southern: Alabama, Arkansas, Florida, Georgia, Louisiana, Mississippi, North Carolina,
South Carolina, Tennessee, Texas, Virginia, West Virginia, and the territories of Puerto Rico and US Virgin Islands.
d) Western: Alaska, Arizona, California, Colorado, Hawaii, Idaho, Montana, Nevada, New
Mexico, North Dakota, Oregon, South Dakota, Utah, Washington, Wyoming, and the
territories of American Samoa, Guam, and the Northern Mariana Islands.

1.E.2 Function:

a) Communicate with regional delegates and members, sharing information from board
meetings or other pertinent meetings.
b) Solicit information from regional delegates and members about their state issues or
concerns and communicate that information to the SSWAA Board of Directors.
d) Connect regional delegates/members with other state delegates/members when
appropriate to support their needs and facilitate collaboration with other social workers
across the nation.

1.E.3 Reporting:

a) Members at large shall prepare a written report for each face-to-face Board Meeting and email it to the Secretary at least one week prior to the meeting.
b)A summary of Regional Reports shall be presented at each face-to-face
Board Meeting.

1.F Standards and Practice Representative

1.F.1Function:

a) Facilitate revisions of all resolution and legislative statements on a two year rotating basis.
b) Develop working groups to up date all resolution statements.
c) Facilitate an annual review of resources posted on website and update
as needed.
d) Solicit Book Award Nominations and facilitate nomination, review process, and
announce winner at SSWAA conference.
e) Review/Revise the SSWAA Board Policy Manual and Bylaws.

1.F.2 Reporting:

a)The Standards and Practice Representative shall prepare a written report for each face-
to-face Board Meeting and email it to the Secretary at least one week prior to the meeting.
b)A summary of the Standards and Practice report shall be presented at each face-to-face
Board Meeting.

1.G University Representative

1.G.1 Function:

a) Develop, get member by in, and board approval for national research agenda.
b) Facilitate importance of SSWAA research agenda.
c) Seek funds to support research agenda.
d) Schedule, facilitate all research,-focused webinars.
e) Update Gary Lee Shaffer Award forms, solicit nominations, facilitate
review process, and announce winner at SSWAA conference.
f) Communicate with university professors who teach school social and serve as their
liaison to the board.
g) Facilitate University networking meeting at SSWAA annual conference.
h) Communicate with schools of social work interested in creating school social work
courses and specializations.
i) Promote student memberships.

1.G.2 Reporting:

a) University Representative shall prepare a written report for each face-to-face Board
Meeting and email it to the Secretary at least one week prior to the meeting.
b) A summary of the Standards and Practice report shall be presented at each face-to-face Board Meeting.
